What we collect and why
Proposal requests
When you send a proposal request we collect your name, email, event type and message and, if you provide them, company, phone, date, venue, number of participants and indicative budget. We use this data to answer the request, prepare the proposal and follow the project. Legal basis: pre-contractual steps at your request. Retention: up to three years after the last contact, unless a contract follows, in which case the statutory retention periods for commercial records apply.
If you tick the option to receive news, we use your email for occasional IVENTS communications, based on your consent, which you can withdraw at any time by replying to any email or writing to geral@ivents.net.
Applications (Work with us)
When you apply to join our pool of professionals we collect identification and contact details, date of birth, nationality, height, uniform sizes, languages, education, experience, driving licence and vehicle availability, a headshot and a full-length photograph, and any files you attach. We use this data exclusively to assess your profile and offer you work at events. Photographs are used to present your profile to clients in the context of specific projects. Legal basis: your consent and pre-contractual steps. Retention: two years after the application or the last project, unless you ask for deletion earlier.
Partner presentations (Become a partner)
When you present your services we collect the company name, contact person, email, phone if provided, service categories, areas covered, links to your website or portfolio and the presentation you write. We use this data to keep a supplier base and contact you when a project justifies it. Legal basis: legitimate interest in building a supplier network, and your consent when submitting the form. Retention: three years after the last contact.
Browsing data and cookies
This site uses strictly necessary cookies (to store your cookie choice) and, only with your consent, Google Analytics 4 to measure visits and requests in aggregate. Without your consent Google Analytics stores no identifiers on your device. You can change your choice at any time under “Cookie preferences” in the footer. We do not send names, emails, phone numbers or form contents to analytics tools.
Who we share data with
Data is processed by us and by the service providers we use to run the site, all under data processing agreements:

For applications, your profile may be presented to IVENTS clients in the context of a specific project. We do not sell personal data.
International transfers
Some providers process data outside the European Economic Area. In those cases transfers rely on the standard contractual clauses approved by the European Commission or on the EU-US Data Privacy Framework.
Your rights
You can request access, rectification, erasure or restriction of processing, object to processing and request portability by writing to geral@ivents.net. You can withdraw consent at any time without affecting the lawfulness of prior processing. You also have the right to lodge a complaint with the Portuguese supervisory authority (CNPD).
Security
Forms are submitted over an encrypted connection (HTTPS). Access to the databases is restricted to the IVENTS team and protected by individual credentials.
